The internet has blown wide open the way information is shared, and that is what I’m posting about today- different ways to make it easy to gather and share information- for free. If you are new to “all this” don’t worry, once you get moving and grooving, you will be sending me hints on how to do things.

Alrighty. Now that we have our blog and news feeds coming to us, and our bookmarks tidied up a bit, I’ll share my hint du jour. My partner, David, and I use Google documents to share ideas. As Realtors working throughout the Dayton area, we need to be in close contact with each other, but not living in close proximity to each other, when inspiration hits we either have to call each other, which is fine except when it’s not, or we send out an email. That only adds to the email pile and then we have to file or copy information from the email- a hassle. We found that minor things were getting set aside and pushed to the bottom of the priority list.

What we now do is use a Google document as a way of communicating. We can open this document at any computer we happen to be sitting at, and we can share our thoughts with each other- it’s a great place to hold our ideas. In fact one of our Google documents is called our Idea Repository. Sometimes our idea is simply a url and a thought, like this: Try www.Animoto.com . Or maybe: Add new photos of 207 E. Sixth St, Dayton, to website. You could use spreadsheets, too if that’s more to your liking. We use spreadsheets to keep up-to-date information about clients, but we don’t post anything of a private or personal nature. I do have concerns about privacy issues when using Google docs, even though you can decide who sees this information, it is our duty to protect sensitive information, so we only post notes about phone calls, or minor changes to our listings.

The applications for this are extensive, particularly for a group of people who are not all in the same office or location. Let’s say you were planning an event with your sister who lives in Chicago, and your brother who lives in Knoxville. You all get access to the same document and can open it at your convenience, sharing ideas, checking items off a to-do list, creating a phone and address list… who knows what? It’s much easier than shooting a bazillion emails back and forth.
